Offer 03 · Onboarding and Support Automation

Onboarding and Support Automation

The work that happens after the sale, running without anyone pushing it.

The Bleed

Your team babysitting forms, chasing documents, answering the same question for the fortieth time and clearing a queue that refills faster than they empty it. None of it is the work you hired them to do, and all of it is the work the client judges you on.

The Outcome

New clients go from signed to fully operational in days rather than weeks, without anyone shepherding them through it. Support requests arrive in one place, get sorted by urgency, and reach the right person with a draft answer already attached. Your team hears about it only when something genuinely needs a human. And if a step fails halfway through, the system retries it rather than dropping it silently.

What it handles

Onboarding and support, running without anyone pushing them.

On the onboarding side

01

Automatic start

A signed agreement or closed deal triggers the pipeline. Nobody has to remember to begin.

02

Paperwork that blocks delivery

The contract is signed and the invoice is paid, so the money is already secured. What is missing is three forms standing between that and the client actually starting. Requested and chased automatically so delivery is not held hostage by an unanswered email. This is not revenue recovery, since nothing here is at financial risk. It is the difference between a client who paid you and a client you can actually serve.

03

Data pulled straight from submitted documents

Business licences, insurance certificates, tax forms and the like extracted automatically instead of retyped by hand into your system. This stops short of identity verification. If a client needs regulated identity checks, such as in finance, insurance or healthcare, that is a separate scoping conversation, not an extension of this.

04

Account and access provisioning

Systems set up and permissions granted the moment requirements are met, rather than waiting on an internal handoff.

05

Sales to delivery handoff

Everything promised during the sale carried across with the account, so nobody starts a kickoff call asking what was agreed.

06

Internal task assignment

The right work created and assigned to the right people automatically, in the right order.

07

Kickoff scheduling

Booked without the email exchange.

08

Progress visible to both sides

The client can see where things stand. So can you. Neither of you has to ask.

09

Silence during onboarding

A new client who has gone quiet five days in is not a revenue risk in the way a stalled trial is. They already paid. What is at risk is trust, formed during the exact window when a new client is judging whether they made the right decision. Flagged before it becomes a churn problem rather than discovered a month later.

On the support side

01

One queue from every channel

Email, forms, chat and portal requests landing in a single place with nothing falling between them. This runs on the same intake and escalation engine as the Leakage Suite, pointed at support requests instead of sales enquiries. If you already have that suite, this is the same infrastructure extended, not a second system built from nothing.

02

Automatic triage

Sorted by urgency, topic and account value, so the important ones are not sitting behind the trivial ones.

03

Routing by skill and availability

To the person who can actually resolve it, not to whoever is on rotation.

04

Drafted responses

Pulled from your own knowledge base and your own past resolutions, ready for a human to approve rather than write from nothing.

05

Response time tracking with early warning

Every support commitment tracked against your promised response time, with an alert before it is broken. What is on the line here is trust inside a relationship that already exists, not a single sale. That is a different kind of risk from a slow reply to a new enquiry, even though the underlying mechanism, measuring time and warning before a deadline, is the same one used for speed to lead.

06

Duplicate detection

Three tickets about one incident merged into one.

07

Recurring issue detection

The same problem reported fourteen times this month is a product problem, and the system tells you so.

08

Automatic follow up on stalled tickets

The ones waiting on a customer reply that everyone has quietly forgotten.

09

Knowledge gaps surfaced

The questions nobody can answer quickly become the documentation you were missing.

This is the part of the business that decides whether a client renews, and it is almost always the part nobody has systematised.

Built with

Fault tolerant background task processing (FastAPI and Celery), automated document collection, extraction and API provisioning, retrieval over your own knowledge base and past resolutions, with automatic retry on dropped webhooks.

What this does not do

Identity verification and regulated intake are a different product. If a prospect in finance, insurance or healthcare asks for automated identity checks or patient onboarding, that is a scoping conversation with a compliance requirement attached, not a variation on this tile. Say yes to it deliberately or not at all.

Get your team out of the busywork after the sale.
